When starting AutoAAP the first time after installing it, a message appears about a missing DLL file or other file and the program won't start correctly. What should I do?



Why do I get a “syntax error" as soon as I select an Excel source file in Import Data?
Answer 1: This is commonly caused by a carriage return in one or more column headings. This is evident if, in Excel, you widen a column and the heading still shows on more than one line. Delete the carriage return, save the file, and try importing again. You may want to select Format | Cells | Alignment and check Word Wrap to force the column headings to two rows, as needed, without using carriage returns.
  Answer 2: There are blank columns in the spreadsheet. Use the horizontal scroll bar in Excel to scroll all the way to the right side of the file (do not use the arrows, just the scroll bar). If there are excessive blank columns showing to the right of the last data column, you need to highlight the blank columns and delete them (just use the Delete key on the keyboard), then save the file. Scrolling to the right side of the file should now stop at, or near, the last column of data. Re-import the file.


In Data Import, when I use Check Data after importing files, there are lots of errors, but when I click to check an error, the records in the Step 2 window are all blank, or if I print out the error report there are no records showing.
Answer: There are blank records in the file just imported. This is most common in Excel files. To correct the problem, open the file in Excel and use the vertical scroll bar (not the arrow buttons) to scroll to the bottom of the file. If there are blank rows showing below the last row of data, highlight and delete these blank rows, then save the file. Scrolling to the bottom of the file using the scroll bar (not the arrow buttons) should now stop at the last row of data. Re-import the file in AutoAAP.


In Availability Analysis, Final Availability tab, why does the Reasonable Area data contain all zeros?
Answer: The Reasonable line contains data from the Regional, State, and National labor areas, as defined in Stage 4: Define Labor Areas. If the gender and ethnicity boxes in the Reasonable portion of the table are all zeros, there are two possibilities:

1) In the imported Job file, if all jobs within the currently selected Job Group use the Local labor area (identified with an L in the External Labor Area Weight field), then only the Local labor area will have numbers in the Final Availability tab for this job group. If at least one of the jobs in the currently selected job group uses a Regional, State, or National labor area (identified with an R, S, or N in the External Labor Area Weight field), then data will appear in the Reasonable fields. Remember, labor areas are defined for the plan, but weights are assigned to job groups. So it's possible to define a Regional, State, or National labor area for the plan, but if the currently selected job group contains no jobs that are assigned a Regional, State, or National code, then there will be no numbers in the Reasonable fields in the Final Availability tab.

2) If the Local Labor Area and Regional Labor Area were both identified using Zip Code Analysis, they may have identical names. AutoAAP creates the default name for the labor area by using the census areas and weights. Thus if Zip Code Analysis is used to create both the local and regional areas, they may get the same name. To resolve this, go to Stage 4: Define Labor Areas. The list of Labor Areas Included in Plan at the bottom of the screen shows the names of the Local Labor Area and Regional Labor Area. If the two names are identical, then click on the Regional area so that its name appears in the Labor Area Name field under Step 3. Now add an R- to the front of the name to differentiate it from the local area. Now click the large down-arrow next to Step 4. This will replace the area in the table below with the new name. Now click the Create Data button, and then click Close.


Why do my reports have multiple blank spots where data should be?
Answer 1: This is usually the result of blank records, which can result from importing files with blank records. In Stage 1: Import Data, click the Check Data button. If the resulting screen indicates an error (such as job codes in the Employee database that are not found in the Job database), click the check box next to the error. The offending records should appear in the Step 2 display box. If the box is empty, this indicates blank records in the imported file. This is most common in Excel files. To correct the problem, open the file in Excel and use the vertical scroll bar (not the arrow buttons) to scroll to the bottom of the file. If there are blank rows showing below the last row of data, highlight and delete these blank rows, then save the file. Scrolling to the bottom of the file using the scroll (not the arrow buttons) should now stop at the last row of data. Re-import the file in AutoAAP.
  Answer 2: This can also happen if a Job Group Code has multiple Job Group Names. In other words, the intent was to have multiple job groups by simply changing the name but using the same code. AutoAAP will combine all employees by Job Group Code and use the first name it finds for that code. The additional names may show up in some reports, but all the data will have been used in the first job group name, resulting in blank data for any additional names for that code.


Can AutoAAP be installed on a network server?
Answer: Yes. AutoAAP can be installed on a server, and used from multiple workstations, but only one workstation at a time. To do this, complete the following steps:
  1. If the server installation will be replacing a workstation installation and Plans or data already exist, then run the option 'Zip data for backup' found on the Utility menu. This will archive all necessary data to a single zip file. If no data exists, proceed to step 2.
  2. Use the setup program on the CD to install AutoAAP to the desired folder on the server. If this is replacing a workstation installation and zipped data will be unzipped later, it is highly recommended that AutoAAP be installed to the same path as it was on the workstation. In other words, if it was on C:\Program Files\AutoAAP\ on the workstation, then install it to \Program Files\AutoAAP on the server. You may have an extended path before the \Program Files if necessary.
  3. Next, download the Client Install from our website: www.biddle.com/aa/update.htm
  4. Run the Client Install setup on the local workstation(s) that will be using AutoAAP. This will install the drivers needed to run AutoAAP on the workstation. This shouldn't be needed for a Citrix type server.
  5. On the workstation, create a shortcut to the AUTOAAP.EXE file on the server. If this is a new installation, you are now ready to start using AutoAAP.
  6. If this server installation is replacing a workstation installation, you will need to unzip the data files zipped earlier. It is recommended that you unzip the file to the drive or folder in which \Program Files exists (see the example path in step 1 above), then click to check the feature Use Folder Names in Winzip.

Why do I get the message: "An error has occurred. Not a table."?
Answer: This error may occur within the program after data is imported, or when trying to start AutoAAP. It may mean there is corruption in one of the AutoAAP program files. Try re-starting the computer then re-starting AutoAAP. If the problem persists, the software must be uninstalled and re-installed to resolve the problem. All data must be re-imported, and then subsequent development steps followed.


Why do I get the message "File Access Denied (1705)"?
Answer: File access errors indicate that a required file is unavailable. This can result if the logon used to access the computer has insufficient rights to the \AutoAAP folder (Full Control is required). On networks, something is restricting access to the drive or \AutoAAP folder, such as a disk backup in progress, insufficient rights for the logon in use, or other network connection problems.


Are there any important suggestions for importing data?

Answer: Yes.
  1. Plan names cannot include the following characters: \ / : * ? " < > |. AutoAAP creates a new directory in the root installation directory and names it after the plan. Microsoft Windows states that directories cannot contain the following any of these characters. AutoAAP programming logic also does not allow for the dash (-) character.
  2. See the Appendix in the AutoAAP Manual for listings of all import files and their required fields. Avoid spaces in any ‘code’ field (i.e., job code, job group code, EEO category, etc.)


How do I reuse the text in last year’s Narrative again in this year’s Narrative, only using this year’s data?
Answer: Copy the Narrative .doc file from last year’s plan folder into this year’s plan folder (after creating this year’s plan and importing data). When you run Export to Narrative - Export Entire AAP Text, the system will use the Narrative.doc in this year’s plan folder and update it with this year’s data.


Where do I find the Lines of Progression report mentioned in the Narrative document?
Answer: Due to changing requirements, the Workforce Analysis can be used as the Lines of Progression. This displays jobs in order of pay within each organizational unit, which is what is desired. Simply delete any reference to the Lines of Progression from the Narrative document.


How do the industry and occupation classifications for Census 2000 compare to the ones used in the 1990 Census?
Answer: The Census 2000 industry and occupation classifications were completely revised compared to 1990. They are now based on the 1997 North American Industry Classification System (NAICS) and the 1998 Standard Occupational Classification (SOC) coding structures. The 1990 system was based on the 1987 Standard Industrial Classification Manual (SIC) and the 1980 Standard Occupational Classification Manual (SOC). To aid data users, “crosswalks” will available on this website for both the industry and occupation coding systems as soon as they are available.


Why do I get the error "EMPMAIN not found"?
Answer: More than likely, AutoAAP files have been corrupted. Try restarting AutoAAP. If the error still occurs, try re-booting the computer, then re-starting AutoAAP. If the error still occurs, AutoAAP must be uninstalled, then re-install, then all data must be re-imported and subsequent steps performed again.


Are there any important suggestions for importing data?

Answer: Yes!

1) Plan names cannot include the following characters: \ / : * ? " < > |. AutoAAP creates a new directory in the root installation directory and names it after the plan. When starting AutoAAP the first time after installing it, a message appears about a missing DLL file or other file and the program won't start correctly. What should I do?
Answer: Messages about missing files usually indicate a problem with the installation or permissions. First, try uninstalling the software and re-installing it. If the problem continues, go to our website at www.biddle.com/aa/update.htm and download the Client Installation (the lower option). This will download the file aapc_setup.exe. When the download is complete, run the program by double-clicking it. This program will load all drivers and dll files required by AutoAAP. When the setup is complete, try starting AutoAAP again. If the problem continues, the logon used when the computer was booted may have insufficient rights to install software. Check with your computer administrator to verify your have sufficient permissions to install software.
